If you are new to the GMC, then you might want to know about E-Archives. This is a required part of your job here, and it’s really important. Many times, we (this includes you!) have to do a bit of research in order to find information. By having it on the E-Archives, we can do this research electronically instead of thumbing through folders.
This is an important resource for Directors and their Administrative Assistants, both now and in the future.
How do I get started?
First, you should have access to all folders under your ministry in E-Archives. This provides you with important information, such as correspondence, minutes, and so on, that relates to your department.

Next, use the lists below to decide what to keep or to not keep for E-Archives.

What you should do:
Daily
Keep important files and emails. In your email, create folders for different people/places/events/etc. and save emails in them that would be useful to a future Director or Administrative Assistant or that might be historically important.
On your laptop, keep files in an “Archives” folder and make subfolders as needed.
Either copy things as you go along or copy things into folders at the end of the day. It’s better to preserve things in small batches.
Annually
Upload the emails and files onto E-Archives.
Each Quadrennium
Do a final check and upload all important documents for your department.
Some tips:
Don’t put “World Missions” in the title of a file. If it’s under the World Missions Department, then the label isn’t needed.
Don’t put the year in the file name if you are saving the document in a folder labeled with the year.
